These terms govern your use of the PicTables platform and services. By using PicTables, you agree to these terms. Please read them carefully before using our services.

Section 01 Acceptance of Terms

These Terms and Conditions (“Terms”) constitute a legally binding agreement between you (“User”, “you”, “your”) and PicTables Ltd, a company registered in England.

By accessing or using the PicTables website, platform, or any of our services, you confirm that you have read, understood, and agree to be bound by these Terms. If you do not agree to these Terms, you must not use our services.

If you are using PicTables on behalf of a business or organisation, you represent and warrant that you have the authority to bind that entity to these Terms, and references to “you” include both you personally and that entity.

We reserve the right to update these Terms at any time. We will notify you of material changes by email or by a prominent notice on our platform. Your continued use of our services after such changes constitutes acceptance of the updated Terms.

Section 02 Our Services

PicTables provides a software-as-a-service (SaaS) platform that enables restaurants and food service businesses (“Restaurant Operators”) to manage table reservations, bookings, and guest relationships. The platform is accessible via our website and associated applications.

Our services include, but are not limited to:

Online table reservation and booking management tools
Automated confirmation, reminder, and follow-up communications
Guest profile management and dining history tracking
Analytics and reporting dashboards for restaurant operators
Integration with third-party platforms and POS systems (where available)
Customer-facing booking widgets for embedding on restaurant websites

PicTables reserves the right to modify, suspend, or discontinue any part of our services at any time with reasonable notice. We will not be liable for any modification, suspension, or discontinuation of services provided we give adequate advance notice.

Availability: While we strive for 99.9% uptime, we do not guarantee that our services will be uninterrupted or error-free. Planned maintenance windows will be communicated in advance wherever possible.

Section 03 Accounts & Registration

To access certain features of our platform, you must create an account. When registering, you agree to:

Provide accurate, current, and complete information during registration
Maintain and promptly update your account information to keep it accurate
Keep your login credentials confidential and not share them with any third party
Notify us immediately if you suspect unauthorised access to your account
Accept responsibility for all activity that occurs under your account

You must be at least 18 years of age to create an account. PicTables reserves the right to refuse registration or cancel accounts at our discretion, particularly where we suspect a violation of these Terms or fraudulent activity.

Business accounts: Restaurant Operators are responsible for ensuring that their use of the platform — including use by their staff — complies with these Terms and all applicable laws, including data protection legislation.

Section 04 Fees & Payment

PicTables operates on a subscription model with a fixed monthly fee. Unlike many competitors, we charge no per-cover commissions. Current pricing is available on our Pricing page.

All fees are quoted exclusive of VAT. UK VAT at the prevailing rate will be added where applicable
Subscriptions are billed monthly or annually in advance, depending on your chosen billing cycle
Payment is processed via our secure payment provider; we accept all major credit and debit cards
Subscriptions renew automatically unless cancelled at least 7 days before the renewal date
Refunds are not provided for partial billing periods except where required by law

If a payment fails, we will notify you and attempt to collect payment again. If payment remains outstanding after 14 days, we reserve the right to suspend access to the platform until the overdue amount is settled.

Section 05 Your Obligations & Acceptable Use

You agree to use PicTables only for lawful purposes and in a manner consistent with these Terms. You must not:

Use the platform to engage in any unlawful, fraudulent, or deceptive activity
Attempt to gain unauthorised access to any part of the platform or its underlying systems
Upload, transmit, or distribute any malicious code, viruses, or harmful content
Scrape, crawl, or extract data from the platform by automated means without our written consent
Reverse engineer, decompile, or otherwise attempt to extract the source code of the platform
Resell, sublicense, or otherwise transfer access to the platform to any third party
Impersonate any person or entity or misrepresent your affiliation with any person or entity
Post fake reviews or manipulate the platform’s reputation or search rankings

Violation of acceptable use may result in immediate suspension or termination of your account without refund, and may expose you to legal liability.

Section 06 Intellectual Property

All intellectual property rights in the PicTables platform, including but not limited to software, design, trademarks, logos, content, and documentation, are owned by or licensed to PicTables Ltd. Nothing in these Terms transfers any intellectual property rights to you.

Subject to these Terms and payment of applicable fees, PicTables grants you a limited, non-exclusive, non-transferable, revocable licence to access and use the platform solely for your internal business purposes.

Your content: You retain ownership of all data and content you upload to the platform. By uploading content, you grant PicTables a limited licence to use, store, and process it solely for the purpose of providing our services to you.

The “PicTables” name, logo, and all related marks are registered trademarks of PicTables Ltd. You must not use our trademarks in any way that suggests endorsement, affiliation, or sponsorship without our prior written consent.

Section 07 Limitation of Liability

To the fullest extent permitted by applicable law, PicTables shall not be liable to you for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, goodwill, or business opportunities, arising from your use of or inability to use our services.

Our total aggregate liability to you for any claim arising out of or relating to these Terms or our services shall not exceed the total amount you paid to PicTables in the 12 months preceding the event giving rise to the claim.

We are not responsible for the accuracy of restaurant availability, menus, or information displayed on the platform
We are not liable for any loss arising from third-party service outages or integrations beyond our reasonable control
We do not accept liability for any no-shows, booking disputes, or issues between diners and restaurants

Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded under English law.

Section 08 Termination

Either party may terminate these Terms at any time by giving written notice to the other. You may cancel your subscription at any time via your account dashboard or by contacting our support team.

Cancellation by you:Your access will continue until the end of your current paid billing period. No refunds will be issued for unused portions of a billing period
Termination by us:We may terminate your account with 30 days’ written notice for any reason, or immediately if you materially breach these Terms
Effect of termination:Upon termination, your right to access the platform ceases immediately (or at end of billing period for voluntary cancellation)
Data export:You may export your data from the platform for up to 30 days following termination. After this period, your data will be securely deleted

Clauses relating to intellectual property, limitation of liability, disputes, and any accrued rights shall survive termination of these Terms.

Section 09 Disputes And Governing Law

These Terms and any dispute or claim arising out of or in connection with them (including non-contractual disputes or claims) shall be governed by and construed in accordance with the laws of England and Wales.

In the event of any dispute arising from these Terms or our services, we encourage you to contact us in the first instance to resolve the matter informally. Most issues can be resolved quickly and fairly by our support team.

Informal resolution: Contact us— we aim to respond within 5 business days
Formal proceedings:If informal resolution fails, disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales
Small claims:Nothing in these Terms prevents either party from seeking relief through small claims court proceedings

Section 10 General Provisions

Entire agreement:These Terms, together with our Privacy Policy and any order forms, constitute the entire agreement between you and PicTables regarding our services
Severability:If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect
Waiver:Our failure to enforce any right or provision of these Terms shall not constitute a waiver of that right or provision
Assignment:You may not assign these Terms or any rights hereunder without our prior written consent. We may assign these Terms in connection with a merger, acquisition, or sale of assets
Force majeure:Neither party shall be liable for delays or failures caused by circumstances beyond their reasonable control, including but not limited to acts of God, war, pandemic, or government action
Notices:Any notices under these Terms should be sent us or to our registered office address
